Full-Time Office Manager

The Virginia Public Access Project is looking for an office manager to handle bookkeeping, serve a vital role in acknowledging our valued donors and organize three events each year. We’re seeking someone with excellent customer service skills, both with external customers and with colleagues on a seven-person team. We’re looking for someone who is a problem solver, has the determination to reconcile budget updates to the penny and thrives in a dynamic, small-team environment.
Qualifications
- Proficiency in QuickBooks or equivalent application.
- Experience with SalesForce (preferably SF Nonprofit Success Pack) or other CMS system
- High degree of proficiency in Microsoft Office (particularly mail merge)
- Excellent writing, editing and proofreading skills
- Quality penmanship (for hand-addressed envelopes for Thank You cards)
- Discretion in managing confidential and sensitive information
Administrative Duties and Responsibilities
- Enter all donations and accounts payable into QuickBooks
- Reconcile bank statements
- Prepare monthly budget reports for the Finance Committee
- Process accounts payable
- Prepare all bank deposits
- Keep minutes of Board of Directors meetings
- Maintain financial documents needed by outside auditor
- Perform administrative duties as required, including ensuring the smooth operation of the office environment and supporting staff with daily ad-hoc tasks
Donor Acknowledgment Duties and Responsibilities
- Update and maintain accurate customer information in SalesForce
- Enter donations in SalesForce and reconcile with QuickBooks
- Ensure all gifts and pledges are processed and acknowledged promptly
- Gain deep understanding of company’s business rules and ensure they are adhered to by all SalesForce users
- Work with IT staff to identify opportunities to automate routine tasks
- Lead in-house direct mail production, including proofreading mailing lists and merge/printing.
Event Planning Responsibilities
- Serve as primary contact with venue, caterers, photographers and other outside vendors
- Maintain list of event attendees
- Recruit and manage all event volunteers
