Help Wanted: VPAP Seeks Office Manager Extraordinaire
Richmond-based nonprofit with a mission to bring fact-based transparency to Virginia politics is seeking an an office manager to handle bookkeeping and play a key administrative role in donor relations. This is a part-time position (20-30 hours a week) with a flexibile work schedule. Our current office manager is retiring -- and is leaving behind meticulous documentation of duties, procedures and applicable business rules. We're looking for someone who is equally extraordinary and who would enjoy working for a nonpartisan group dedicated to making Virginia politics more accessible to the public.
About the Organization
The nonprofit Virginia Public Access Project is a trusted, well-managed nonprofit dedicated to bringing transparency to Virginia politics. VPAP enjoys bipartisan support for its nonpartisan, fact-based approach to information. VPAP was founded in 1997. It has a six-person staff, more than 1,100 donors and an annual operating budget of nearly $900,000 a year.
The Position
This is an established position that plays a key operational role in the organization. We are looking for an ethical, detail-oriented person to handle bookkeeping and play a central role in our prompt, personal acknowledgment of donations.
Qualifications and Skills Desired
- BA or BS degree or equivalent
- Proficiency in QuickBooks
- Experience with donor management systems, preferably SalesForce Nonprofit Success Pack
- Proficiency in Microsoft Office (particularly mail merge)
- Excellent penmanship (for personalized, hand-addressed Thank You notes)
- Strong writing, editing and proofreading skills
- Proven commitment to quality work, customer service, and high productivity
- Demonstrated organizational skills with ability to prioritize and manage multiple tasks and responsibilities
- Ability to work independently on projects as well as in a team environment
- Ability to interact with all levels of staff
- Discretion in managing confidential and sensitive information
Office Administrative Duties and Responsibilities
- Enter all donations and accounts payable into QuickBooks and reconcile bank statements
- Prepare monthly budget reports for the Finance Committee
- Process accounts payable
- Prepare all bank deposits
- Keep minutes of Board of Directors meetings
- Maintain documentation for outside auditor
- Order office supplies
- Answer and route inbound phone calls
- Perform administrative duties as required
Development Duties and Responsibilities
- Update and maintain accurate contribution receipts in SalesForce
- Ensure all gifts and pledges are processed and acknowledged accurately and promptly
- Oversee all phases of in-house direct mail production, including proofreading mailing lists, merge/printing and mailing preparation
- Assist with planning and management of fundraising events
This is a part-time, hourly position. Company-provided parking space near loft-style office in downtown Richmond.
